Terms and Conditions

These are the conditions of hire of Quinn’s Coach Hire, (hereinafter called “the company”). They form the basis of the contract under which the company agrees to hire its vehicles to the customer (hereinafter called “the hirer”).

1. Breakdown and Delays

The company gives its advice on journey time in good faith. However, as a result of breakdown or traffic congestion, or other events beyond the reasonable control of the company, journeys may take longer than predicted and, in those circumstances, the company will not be liable for any loss or inconvenience suffered by the hirer as a result.

2. Liability for Injury

The company will not accept any liability for damage, injury or loss for any passenger standing up or walking around the vehicle whilst in motion.

3. Supplying Coaches with Additional Seating Capacity

The company reserves the right to supply a larger coach than that ordered for any journey and in this event, no additional charge shall be made to the hirer unless the additional seating capacity is utilised. If you must have the size of vehicle you requested, please let us know at the time of booking as this may affect your quote.

4. Use of the Vehicle

The hirer cannot assume the use of the vehicle between outward and return journeys, nor that will it remain at the destination of the hirer’s use unless this has been agreed with the company in advance.

5. The Use of Other Operators Vehicles

The company reserves the right to substitute other operators’ vehicles in place of its own for any journey or part thereof.

6. Payment Terms

A deposit of £100 per vehicle per day of hire is payable at the time of booking for hires from January to May inclusive and August to December inclusive. The deposit for hires in June and July is £150 per vehicle per day. The balance of the hire charge is payable by fourteen days prior to the date of hire, unless other payment terms are agreed as stated overleaf. (The company reserves the right to decline to execute any work when the foregoing condition has not been adhered to, in which case the deposit becomes forfeitable by the hirer to the company).

7. Passenger Capacity and Seat Belts

No passenger may be carried in excess of the seating capacity of the vehicle and passengers must wear the seat belts provided at all times.

8. Drivers hours regulations

The hours of operation for the driver are regulated by law and the hirer accepts the responsibility of ensuring the hire keeps to the hours and times agreed by the Company. Neither the hirer nor any passenger shall delay or otherwise interrupt the journey in such a way that the driver is at risk of breaching regulations relating to driving hours and duty time. If any breach is likely to occur, the hirer will be responsible for any additional costs incurred unless it is outside the control of the hirer.

9. Conduct of Passengers

a) The driver is responsible for the safety of the vehicle at all times and as such may remove any passenger whose behaviour prejudices safety or is in breach of the Public Service Vehicle (Conduct of Drivers, Inspectors, Conductors and Passengers) Regulations 1990. These regulations set out certain rights and responsibilities on all parties and full details of these can be obtained from the company on request. The hirer is responsible for any damage caused to the vehicle by any passenger for the duration of the hire.

b) Where the hire is to a sporting event, the hirer should be aware of the legal requirements relating to alcohol, contained in the Justice Act (NI) 2011 Section 40 – Alcohol on Buses to Sporting Events, that the possession of alcohol on certain buses en-route to regulated sports matches will be interpreted by the courts in criminal proceedings.

10. Cancellations

Cancellation by The Hirer – January to May inclusive and August to December inclusive

a) For Cancellation more than 5 working days prior to the first day of the hire – the cancellation charge to the hirer is £100 per vehicle per day of hire.

b) For Cancellation less than 5 working days prior to the first day of the hire – the cancellation charge to the hirer is 50% of the total hire charge.

c) For Cancellation on the day prior to, or on the day of the hire before the vehicle has departed our premises – the charge to the hirer is 75% of the total hire charge.

d) For Cancellation on the day, after the vehicle has left our premises – the cancellation charge to the hirer is 100% of the total hire charge.

e) Upon cancellation, the hirer will also be liable to pay for any additional items or services that have been bought and paid for on behalf of the hirer in advance of the hire. For example, ferry services, theatre tickets, meals, parking permits, accommodation and

guide services etc. Every effort will be made by the company to reduce this liability however all non-retrievable charges will be the responsibility of the hirer.

Cancellation by The Hirer – June and July

Due to the extraordinary demand on coach resources during June and July, alternative cancellation charges apply during these months as follows:

a) For Cancellation more than 14 working days prior to the first day of the hire – the cancellation charge to the hirer is £150 per vehicle per day of hire.

b) For Cancellation less than 14 working days prior to the first day of the hire – the cancellation charge to the hirer is 50% of the total hire charge.

c) For Cancellation on the day prior to, or on the day of the hire before the vehicle has departed our premises – the charge to the hirer is 90% of the total hire charge.

d) For Cancellation on the day, after the vehicle has left our premises – the cancellation charge to the hirer is 100% of the total hire charge.

e) Upon cancellation the hirer will also be liable to pay for any additional items or services that have been bought and paid for on behalf of the hirer in advance of the hire. For example, ferry services, theatre tickets, meals, parking permits, accommodation and

guide services etc. Every effort will be made by the company to reduce this liability however all non-retrievable charges will be the responsibility of the hirer.

Cancellation by the Operator

Once a booking is confirmed by the hirer, the Operator will never cancel a hire (if payment terms have been adhered to). In cases of extreme weather conditions or exceptional circumstances out of the Operators control, Quinn’s Coach Hire will liaise with the hirer and make every reasonable effort to make sure the hire is completed.

11. Consumption of Alcohol

The consumption and or carrying of alcohol in the passenger compartment of company vehicles is strictly forbidden unless permission has been obtained from the company to carry alcohol in the luggage hold of vehicle.

12. Returnable Additional Deposits

The company reserves the right to insist upon a returnable additional deposit being provided by the hirer in addition to the hire charge. This deposit will be returned to the hirer following completion of the hire provided that non-additional expenses were incurred by the company which were a direct result of the hirers, or his passenger’s actions.

13. Additional Charges

The company reserve the right to impose additional charges on the hirer following completion of the hire if the passengers have left the vehicle in an unreasonably untidy condition or having required additional time or mileage which was not included for in the original booking. Toilets will only be open if requested by client when booking the coach as the cleaning and sanitising of the toilet has to be refelected in the price. Please remember that the toilet cannot be used while the vehicle is in motion for health & safety and insurance reasons.

14. No smoking policy

Hirers should note that this company operates a policy of no smoking on all company vehicles. This policy will be strictly enforced. Would hirers please bring this condition to the attention of all passengers intending to travel on the coach.

15. Airport or Ferry Transfers

On collecting passengers from airports, ferry ports, etc., the coach will wait for one hour after the prearranged collection time free of charge. After that additional waiting time will be charged at the discretion of the company.

16. Passengers’ Property and Lost Property

a) All vehicles hired by the company are subject to restrictions on carrying luggage for statutory safety reasons. Large bulky items may not be able to be carried and the hirer should take all steps to notify the company in advance of such requirements.

b) The company accepts any personal property of the hirer and their passengers on the understanding that it will take all reasonable steps to avoid loss or damage. The hirer should notify the company or the driver if items of exceptional value are to be carried on the vehicle. It is the hirer’s responsibility to minimise risk of loss when property is left unattended.

c) The company will not be responsible for any damage to, or loss of, personal property left in vehicles, howsoever caused.

d) All articles of lost property recovered from the vehicle will be held at the company’s premises where the vehicle is based and will be subject to the current Public Service Vehicle (Lost Property) Regulations. The company will provide details of this legislation on request.

17. Acceptance of Our Quotation

Implies acceptance of the above conditions.

18. Complaints

In the event of a complaint about the company’s services, the hirer should endeavour to seek a solution at the time by seeking assistance from the driver, or from the company by calling our support staff on (028) 8673 7325. If this has not provided a remedy, complaints should be submitted in writing and within 14 days of the termination of the hire. The company shall reply to any complaints within 48 hours of receipt of the same. 19. Event Travel & Experiences

When booking Event Travel online please make sure your mobile number and email are correct as you will receive confirmation paperwork and reminders to your email plus a coach locater text during the event to help you find your way back to the coach(es). If you do not receive our confirmation email please check your junk mail folder and if you still dont please contact mail@quinnscoachhire.com for assistance.

a) Tickets are non-refundable but can be transferred to another person.

b) Consumption of alcohol is forbidden on the coach.

c) Smoking and vaping is forbidden on the coach.

d) Consumption of food is forbidden on the coach to prevent any other passengers with food alergies being affected.

e) Toilet on the coach is out of bounds for passenger safety and sanitary reasons on event travel. There will be no exceptions.

f) It is up to the client to adhere to instruction from driver and itinerary as for the service to run on time.

g) Passengers must show respect to staff and other passengers during the trip with zero tolerance for violent and disruptive behaviour. Any breach of this may result in offending passengers being removed from the service where necessary. Live CCTV is on all coaches and is being monitored so any criminal damage or disruptive behaviour will be monitored, recorded and used as evidence if required to protect both Quinn’s Coach Hire, it’s staff, its clients and the general pbulic.

h) In the event of an issue with a coach being unable to continue a trip or a driver being unable to continue a trip, we have plans in place to replace the coach and/or driver as soon as possible causing minimal inconvenience to our passengers. Our timings are laid out as so we have ample time to reach the event even if there are unforseen complications during the trip.

i) Please be aware that we make every effort to ensure passengers find their way back to their coach(es) after an event. We park the coaches in same location we drop passengers off so they remain in the same place plus we send out a location text message to passengers with a Google Maps Dropped Pin of the exact location of the coach(es) for you to follw using your GPS function on your mobile device. We can not be held responsible for those who dont have this function on their mobile device or have issues with their mobile device using the GPS function.

j) There is a leave time after events clearly indicated at time of booking and on all reminders. Please make your way back to the coach(es) immediately after the event ends as we do not wait after the pre-arranged leave time if you are lagging behind as the majority of clients will already be back and ready to go home. If you are having issues finding your coach, even with the measures put in place so you dont, please call 078 3454 3580 immediately for asistance. If we can help we will do everything in our powers to do so, but we can not be held responsible for those who wait until after the leave time to call for assistance or have waitied until they are completetly lost beyond assistance.

k) Pick-up times on our site and initial booking email are only a guideline. These may change due to a number of variables including, number of vehicles travelling, the route they are travelling and number of pick-ups required. Final times will be confirmed and sent to you by email the evening before the event so please watch out for these remainders.

l) Please BE EARLY for your pick-up as coaches will not wait past the pick-up time. We take no responsibility for anyone who misses their pick-up and will not hold coaches beyond the designated pick-up time for anyone running late.

20. COVID-19 Guidelines

a) Passengers are advised to sinitise their hands boarding and alighting coaches using the sanitising stations provided at the entrance of each coach.

b) It is avisory that all passengers wear face masks while travelling on the coach.

c) Luggage will not be handles by the driver where possible. Please follow drivers instruction on stowing any luggage.

d) Toilets are locked and out of bounds.

e) Your coach will be fully deep cleaned and sanitised prior to leaving our base and on the return to our base for your safety and confidence.
